1. Overview

SyncAutoFlow provides AI-powered call-centre and telesales analysis services.
Our goal is to ensure every client receives measurable value through accurate analytics and transparent billing.
This policy outlines when refunds may be issued and how cancellations work.


2. Subscription Terms

  • Subscriptions are billed monthly in advance via Stripe.
  • The standard plan includes 1,000 hours of analysed speech per month, with additional hours billed at $0.95 USD per hour.
  • Subscriptions automatically renew unless cancelled (see Section 3).

3. Cancellations

  • You may cancel your subscription at any time with 30 days’ written notice before the next billing cycle.
  • Cancellations must be submitted by email to stuart@syncautoflow.com.
  • Once cancelled, service continues until the end of the current billing period.
  • After termination, access to dashboards and reports remains available for 14 days to allow you to export data.

4. Setup Fees

  • A one-time setup fee of $1,999 USD applies to new accounts (discounted for early clients).
  • This covers configuration, Azure integration, dashboard design, and testing.
  • Setup work begins immediately after payment; therefore, setup fees are non-refundable once work has started.

5. Refunds for Monthly Subscriptions

We want all clients to be satisfied with their results.
However, due to infrastructure and processing costs:

  • Refunds are only available for unused full months if notice of cancellation was provided before renewal.
  • Partial months already in progress are not refundable, as cloud compute and analysis costs are incurred daily.
  • If service delivery fails for reasons within our control, we will review and, where appropriate, issue a pro-rata credit or refund.

6. Additional Usage Charges

  • Overages above the included 1,000 hours are billed at $0.95 USD per hour.
  • Because these charges are tied to actual AI processing, they are not refundable once incurred.

7. How to Request a Refund

To request a refund or dispute a charge, please email stuart@syncautoflow.com within 10 business days of the billing date.
Please include:

  • Account email or invoice number
  • Reason for the request
  • Any relevant supporting information

We aim to review and respond within 5 business days.


8. Payment Processing

All payments and refunds are handled securely via Stripe.
Refunds (where approved) are returned to the original payment method within 5–10 business days.


9. Service Changes or Interruptions

If we suspend or discontinue service for maintenance or business reasons, clients will be notified in advance and credited for any prepaid unused period exceeding seven days.
